User Guide – Supplies in IdeasFarm

The Supplies module allows comprehensive control of all inputs used on the farm: feed, medications, reproductive products, seeds, supplements, and more. Additionally, it automatically organizes each product within its category and subcategory to link it with the corresponding cost center and reflect it in the Income Statement.

1. Supplies Overview

The main screen displays all registered products, with the following key information:

Field	Description
Name and Code	Unique identification of the supply.
Container and unit stock	Current quantity in inventory.
Current inventory value	Total dollar amount of available stock.
Category and Type	Main classification of the product (e.g., Feed, Reproduction, and Health).
Last entry and exit	Dates of the last recorded movements.

Functionality: From here, you can quickly view the availability and economic value of each supply.

2. Registering a New Supply

Clicking “+ New Supply” opens a form to enter a product. Main fields:

Product name.
Main category and subcategory: IdeasFarm automatically organizes the product within a cost center (e.g., Seeds → Feed → Pastures).
Container unit of measure: Kg, L, ml, units, etc.
Minimum stock: Minimum quantity to maintain in inventory to trigger alerts.
Expiration date: For medications, vaccines, or perishable products.
Optional description.

3. Bulk Data Entry

The “Bulk Data Entry” button allows you to register multiple products at once. You can upload information such as:

Product name.
Category.
Unit of measure.
Entry date.
Quantity of containers and unit price.
Minimum stock.
Expiration date.

4. Entry and Exit History

Clicking on the product name or code opens a side window with details of all movements:

Entries: Purchases or stock additions.
Exits: Consumption, applications, or deliveries to animals/pastures.
Dates and quantities: With unit and total cost.

👁 Usefulness: Allows auditing supply usage, analyzing application costs, and controlling inventory turnover.

5. Supplies Report

The report icon button opens a modal with a graphical summary and key indicators:

Total number of products and inventory value.
Products by category and subcategory (pie charts).
Most used product and highest turnover.
Products at minimum stock or out of stock.
Expiration and waste percentage.
Monthly entries and exits (comparative charts between years).

Interpretation: These reports provide a complete view of how supplies are used on the farm, their economic impact, and their relation to productivity.

6. Relation to the Income Statement

Each registered supply is automatically associated with the corresponding cost center. Examples:

Seeds → Feed → Pastures.
Vaccines → Reproduction and Health.
Balanced feed → Feed → Supplements.

In this way, each inventory movement is reflected in direct production costs, facilitating real-time economic analysis.

7. Best Practices

Keep entries and exits updated to avoid stock inconsistencies.
Correctly configure the category to ensure costs are assigned to the appropriate item.
Use minimum stock to receive preventive alerts before running out of critical supplies.
Periodically review the report to identify supplies with low turnover or nearing expiration.
